The future of facilities management is rapidly changing, driven by an ever-expanding offering of technology.  With new advances rolling out one after another, it begs the question: is your facilities organization strategically focused on the future?  

The integration of REFM technology into existing operations is a complex and can be a painful endeavor. Roadblocks include lack of executive support, budget & labor constraints, acquisitions, departmental mandates, and the intricacies of FM service provider outsourcing.  All too often, a company’s technology roadmap resembles a chaotic mix of the “latest and greatest” and antiquated systems coupled with overly complex operational procedures.

The “moment of truth” emerges when a company’s IT systems must communicate, analyze, and report data efficiently.  Ironically, many firms soon discover gaps, some which may have originated from mismatched systems of the new and obsolete combined.  In some cases, firms find they have implemented something that is soon to be phased out and/or an unnecessarily robust or complex system, e.g. much like an analogy of purchasing a semi-truck when only a full-size pickup would have sufficed.

Integrating the whole technology package will invariably have hiccups and challenges but can be mitigated through proper strategic long-term planning. By establishing a robust technology roadmap and implementation plan, a firm can employ strategic technology and facilities service providers that work in unison to bring together the long-term vision.

Vision

How to stretch one’s mind to imagine and take a holistic view of future possibilities and understand the elements needed to FUTURE PROOF your operations.

Identification

Understand how to identify and interpret the impacts RE&FM technology will have on your day-to-day operations.

Knowledge

Acknowledge the value of cross-organizational collaboration, due diligence and market research, learn to compare systems effectively, and ensure your organization chooses the right tools for both present and future needs.

Implementation

Understand how to develop and effectively implement a Vision project through the identification of stakeholders, obstacles and creating a flexible plan for long term success.

The aim of this session is to give students the ability to drive effective changes throughout their facilities organisations.   We will peek into the horizon, glimpsing in on some emerging facilities related technologies.  We will explore “expected outcomes”, such as reporting and analytics, from the technology program and dive into recommendations around defining and implementing technology roadmap. The end goal is to ensure that participants will understand how to get precisely what they need, and nothing they do not, a Facilites Management solution that benefits current and future operations.   

Session 1: Focus on Vision
This session centers on vision. Participants are introduced to each other, the course, and the V.I.K.I. framework: Vision, Identification, Knowledge & Implementation. Teams engage in a creative activity to explore teamwork and vision-building by creating something from limited materials. Through presentations and feedback, participants develop an understanding of the importance of shared vision and collaboration.

Session 2: Foundations of Vision
The second session dives deeper into vision, emphasizing the IOVO principles: Improvement, Opportunity, Value, and Obstacle. Teams identify challenges within their own organizations and apply the IOVO framework to select a specific problem for their Vision Project. This session combines theory, interactive team discussions, and workshops to shape a strategic and actionable vision.

Session 3: Focus on Identification & Knowledge
In this session, teams refine their Vision Project by focusing on identification and knowledge. Participants analyze gaps in information and knowledge that impact their project’s success. Through lectures, breakout sessions, and cross-group collaboration, teams present their progress and receive valuable feedback to further enhance their vision.

Session 4: Refining the Vision Project
The focus shifts to strengthening project progress through incorporating feedback. Teams work to solidify the identification and knowledge components of their projects while applying the IOVO principles to address areas for improvement. The session introduces the concept of implementation, preparing participants to develop a detailed roadmap in the final session.

Session 5: Focus on Implementation
The final session is about turning ideas into action. Teams develop an implementation roadmap for their Vision Project, identifying stakeholders, decision-makers, and potential obstacles. Through breakout activities and presentations, teams showcase their final projects. The session concludes with a group evaluation, voting on the best project, and a closing reflection to celebrate achievements.
